Working with discovered apps

Review and manage list of apps not under IT management

With an initial review of the Discovered Apps page, detect those apps in your organization that are not connected with an engagement or SSO connector or that do not have contract data uploaded. Review the Discovered Apps page on a regular basis to monitor what's trending up and determine who is responsible for spend or activity.

Note that the Productiv connector for GSuite SSO classifies apps as Discovered if they use a "Log in with Google" option (also known as Google social login) for authorization.

To open the Discovered Apps page, select one of the links from the Apps List page:

The App Categories filter allows you to narrow down your view and see related apps together.

To narrow down the information presented on the Discovered Apps page by where the app was discovered, select the Source filter to select expenses, payments or network. Or select All to show all sources.

If you’ve selected a source, the filter button indicates your selection with a black background. With a source selected, the Discovered Apps page only shows the apps from the selected source.

Select the Historical spend activity link to open the Discovered Apps: Historical Spend page to see details for spend older than 12 months.

The Discovered Apps table

The Discovered Apps table provides a detailed look at non-managed apps discovered in your organization's portfolio.

To determine how much traction an app has in your organization and who is responsible for the activity, review the Discovered Apps table, which includes the following information:

App - the name of the application
Sub-category - the type of application
Discovery source - how the app was discovered
Expensing users - the number of users who have expenses related to this app
$ Past 12 months - the amount of spend in USD for the app in the last 12 months (an * denotes that there is spend in other currencies)
Compliance count - the number of compliance certifications achieved for this app
Last activity - the last date of expenses related to this app

The Discovered Apps table can be filtered by selecting one the following:

All discovered apps
Newly discovered - apps identified in the last 30 days
Trending up - apps with at 80% or greater change in usage vs. 90 days ago

The table can also be sorted by clicking any table column header.

Select an app name to see detailed information for that app.

Select View sources to connect to connect an app.
