What are App Contacts?
App contacts are individual users who are assigned to a specific application within your SaaS portfolio. These contacts are categorized based on their roles within the organization, such as Finance, Security, IT, Legal, Functional, Vendor, Procurement, or Other.
Why are App Contacts Important?
By assigning contacts to apps, you can ensure that relevant stakeholders can be assigned specific steps in workflow based on their roles.
Assigning Contacts to an App
- Navigate to the App Portfolio page.
- Verify that the specific contact type column is visible. If not, click on "Manage columns" and select the contact types.
- Click on the table cell corresponding to the app and contact type you want to update.
- The "Edit app contact" modal will appear.
- To add a new contact, click the "+ Add contact" button.
- Search for the contact by their email or name.
- Check the "Provision user" checkbox if necessary. This allows the new contact to access Productiv. Recomended if this contact will log into the platform or be assigned steps in workflow. This checkbox is only available if the contact does not already have access and you have Productiv Super Admin permissions.
- Click "Save and close."
Editing Contacts of an App
- Navigate to the App Portfolio page.
- Verify that the relevant "App Contacts" column is visible.
- Click on the table cell corresponding to the app and contact type you want to update.
- The "Edit app contact" modal will appear.
- To edit a contact, click the "Replace" button.
- Enter the new user's name and email, update the ‘Provision user” & “Subscribe to emails” options as necessary
- If the contact is assigned to other apps, the system will prompt you to select which apps to reassign the contact to those apps also. If you wish to update those apps, select the apps for which you wish to make the change.
- Click "Save and close."
By effectively managing app contacts, you can ensure that all relevant stakeholders are informed and involved in the management of your SaaS applications.
Adding and Removing App Contact Types
This functionality is only available to users with Productiv Super Admin permissions. If the default set of App Contact types does not fit your business, they can be customized to your needs.
- Navigate to the Settings page.
- Click the "Users" tab.
- Scroll to the "App contact type" section
- To add a new contact type, use the "+ New" button and follow the on-screen prompts.
- To edit or remove an existing contact type, use the triple-dot menu ("...") on the right side of the table and follow the on-screen prompts.
Note that a contact type cannot be removed if there are still users assigned to that contact type. In order to remove a contact type entirely, the existing contacts for that type will need to be migrated or removed. For information on doing this in bulk, see Bulk uploading app contacts.
