What is Spend?
Spend is defined as: Invoice + Expense Reports (Expense Management), such as Expensify.
What is Expense (GAAP)?
Expense is only supported in NetSuite and is defined as: Journal Entries (Ledger Entries) + Expense Reports. GAAP stands for generally accepted accounting principles.
What is Fiscal Year?
Fiscal year is a one-year term for expenses and defaults to the calendar year, though you can set the year in settings.

How Do We Enable/Onboard the GAAP experience?
Use the following process to onboard:
- Disconnect any existing Invoice Connectors. The NetSuite ERP connector is hidden until this happens.
- Delete data for any existing Invoice Connectors. This permanently deletes all data.
- Connect the NetSuite GAAP connector in the chosen environment. Once connected it takes 1-2 days to pull and populate the environment.
- Validate that the data is correct.
- A recommended approach is to find an application/vendor spend on the NetSuite side and do a 1:1 match between NetSuite and Productiv.
- Choose to go forward with GAAP or stay in Fiscal Year Cash.
- Customers can enable the GAAP Experience by disconnecting the previous NetSuite connector first. Once disconnected, the NetSuite ERP connector becomes visible. Once connected, they will only be able to have Fiscal Year GAAP expenses and the appropriate columns available in their dashboards.
- The transition happens automatically.
- There is a known issue when connecting to NetSuite GAAP that results in data pull from an Expense Management solution (Expensify, Trip Actions, et cetera) being double counted, resulting in artificially increasing the expense number. If this occurs, please let your Customer Service Manager know
How Do I Configure the Default First Year?
The default fiscal year is set to the calendar year. In order to change the month in which your fiscal year ends, navigate to Settings>Organization>Finance and change the month to reflect the last month of your fiscal year. It can also be changed by simply clicking on the fiscal year itself

- Can I get past 12 months? Where did that go?
No, this column is not available after the change takes effect. However, all historical transactions will still be available for your review in the Fiscal Year Cash based metrics. There is no loss of data. - Do you support GAAP for other connectors, such as Sage or Oracle?
It is on the roadmap, pending priority.
