The Coupa invoice connector now allows you to get a more detailed breakdown of the spend line items. See individual segments like Department, Cost center, Subsidiary, Location, etc that make up the account code for each line item. The connector also maps cryptic segment codes (e.g. "1200") to a human readable string (e.g. "Accounting").
The detailed instructions for enabling this feature are mentioned in the Coupa Invoice Connector’s setup guide.
Capabilities
- All the segments of the account codes in Coupa Invoice are available as individual fields on all spend records. The new fields will be available as columns on all the expense entries table in product - available to be selected via the column selector.
- For example, if the account code for an invoice line item is
100-421-000-08which represents the codes for<Company>-<Account>-<Cost Center>-<Location>, then, following columns will be available on the expenses page with the description of those codes in the respective columns.
- Company
- Account
- Cost Center
- Location
- Customers will have to provide us the field name that has been mapped to the cost centre field in their Coupa account so that the account codes associated with that field will also be included in the standard cost centre column. For example: if the customer's coupa account refers to the
cost centreasdepartment, they will need to give us this information.
Note: The structure of the account code can be customized in Coupa depending on how the chart of accounts is configured. By default, Coupa APIs only allow us to retrieve the detailed information for the codes that belong to an account associated with a lookup. As a result, the information above will only be shown for the accounts that the customer has linked to a lookup.
For other accounts, customers may contact their CSMs to share segment mappings they have created for an account code; in this instance, the segment fields will appear as columns on the expense entries table, but they will only display account codes.
