Types of contacts
There are two ways to assign contacts to applications in Productiv to let other users know who to contact with questions for any given application.
- App Contacts: These are assigned at the application level. Learn more about app contacts.
- Renewal Contacts: These are assigned at the contract level, and can be used to define who is responsible for each specific contract.
Why Use Renewal Contacts?
Renewal Contacts (contacts defined at the contract-level) offer flexibility and control in managing renewal processes. Here are some key scenarios where they are particularly useful:
- Contract-Specific Ownership: If different individuals are responsible for specific contracts within your organization, contract-level contacts allow you to assign appropriate owners for each renewal.
- Geographic Considerations: For companies operating in multiple regions, contract-level contacts can ensure that renewal processes are handled by teams with expertise in local laws and regulations.
- Post-Acquisition Integration: In the event of a company acquisition, contract-level contacts can help maintain continuity in the renewal process, even if the teams responsible for managing the contracts have not yet been fully integrated.
How to create Renewal Contacts
- Navigate to the "Contracts" Tab.
- Find the contract you want to modify and click on the "Edit" button.
- Scroll down to the "Renewal Contacts" section and disable the toggle “Sync with App Contacts”
- Add one or more contacts to the list of renewal contacts.
- Click "Save" or "Done" to apply your changes.
