How can forms used in a workflow
Forms can be powerful tools for enhancing workflow efficiency and accuracy.
- Capture structured information: Forms ensure all necessary details are collected for employee requests. E.g. new software requests, marketing events etc. This eliminates the risk of missing crucial information and saves time.
- Document crucial decisions: Forms can capture important decisions and feedback from reviews, such as information security or legal assessments. This creates a clear record for future reference and audit purposes.
- Preserve Valuable Data: All information captured in the form is readily accessible within the task's document section, providing a permanent record for future reference and analysis.
Adding a form as step in a workflow
To add a form as a step in a workflow, follow these steps::
- Use the form builder to create a custom form tailored to the specific request, ensuring all necessary information is captured. Click here to learn about how to create new form
- Access the workflow builder page for the relevant workflow.
- Drag and drop the "Fill a Form" widget onto the canvas.
4. Customize the widget by assigning the appropriate personnel and watchers.
5. Click on the "Add Form" button, and select the custom form created in the Form section. Only custom forms will be listed here.
Note: You can only add custom forms. If you have not yet created a custom form, then create a new custom form in Form section.
6. Connect the outputs of the form and assign an appropriate individual to the task. Ensure all necessary connections are made. Once done, publish the workflow.

If you have been assigned the task to “Fill a form” during approving/reviewing the request, click on the "Start Form" button. To start filling the form.
The form will appear in a modal, allowing the reviewer to input relevant details. Upon completion, click Submit the form
Reviewing a completed form
All completed forms within the workflow are conveniently stored in the "Docs" section, allowing users to view submitted forms at any time. To view a previously completed form, navigate to the docs section of the task details screens and click to view the form.
