The App Portfolio provides a listing of all applications in your organization, and enables customizable columns and filters to create specialized views. There are three groups of apps you can choose to include in these views. An overview of each group is below.
By default, Active apps and Apps with delayed data are shown in the list on the App Portfolio page. This selection is customizable using the “Visible apps” toggle above the list.
Active apps
Active apps are apps that meet any of the following criteria:
- The app has a current contract uploaded to Productiv.
- The app has had any expenses or payments in the last 12 months.
- The app has current activity data (provided by a direct connector, SSO connector, or Network connector), and there are non-zero* number of provisioned users for the application.
Apps with delayed activity data
Apps with delayed activity data are apps that meet all the following criteria:
- The app has no current contract, and no expenses or payments in the last 12 months.
- The app has no current usage data available, but has had usage data (via either a direct connector or an SSO connector) in the past.
- The app’s most recent available usage data is less than 90 days old.
An app may be marked as having delayed activity data for the following reasons:
- A direct or SSO connector providing activity data for the app has been disconnected (but not deleted).
- An activity connector providing data to the app (e.g. the direct connector, or an SSO or Network connector) is stuck. This may be due to an issue with the connector or its configuration, or some other error. Visit the connector library to view the status of all your connections.
- The connector providing usage data for the app has newly been connected, and the new connector is in the process of “catching up” and fetching historical data. When the connector is done catching up, the app will become Active.
Apps with delayed activity data show a yellow warning along the left edge of the list of apps on the App Portfolio page. More info is available by hovering over the warning with your mouse.
Inactive apps
Inactive apps are apps that meet all of the following criteria:
- The app has no current contract, and no expenses or payments in the last 12 months.
- The app has no usage data,
- OR: the app’s most recent available usage data is more than 90 days old,
- OR: the app’s current usage data indicates that there are 0 provisioned users.*
Inactive apps are generally no longer used, or Productiv does not have sufficient current data to indicate active usage of the app. For this reason, inactive apps are hidden from the list by default in the App Portfolio page. These apps are also excluded from calculations on the Dashboard, Suppliers, and Teams pages.
To see inactive apps on the App Portfolio page, use the “Visible apps” toggle above the table. Details about individual inactive apps are also always available by the searching for the app using the search bar at the top of the page.
Note: If you create or save custom app portfolio views, your selections in the “Visible apps” toggle are saved with the view for easy recall and sharing.
*For apps whose only activity data is provided by a Network (CASB) connector, the number of provisioned users is estimated by using the detected network activity for the app in the last 90 days.
