Why does keeping app contacts up to date matter?
App contacts are critical to your setup since they receive important notifications for upcoming contract renewals and provisioned licenses. It is an important part of IT Ops and Procurement workflow hygiene.
However, maintaining app contacts can be challenging because an app contact might leave the organization; thereby sending important notifications to ghost accounts.
Find terminated employees in apps list
We are making it easier to detect outdated app contacts by utilizing HR data on employee termination date. Now, in your apps portfolio, we label apps that have deactivated contacts.
Note: Productiv can only detect deactivated app contacts if their information remains in your HR system with an employee termination date.
You can replace/delete these users for one app or bulk replace/delete them across apps. Upon deletion, the deactivated app contact stops getting notifications for that app.
Note: A deactivated app contact may still have access to Productiv Platform. Please go to Admin Settings to deprovision the user from Productiv.
Getting Started
Productiv can detect if app contact is terminated if we have the employee termination date available from the HR systems. You may have already set up this mapping in the past, so please check your Settings. This setup can only be done by a user with Super Admin privileges.
Termination Date Mapping
If you haven’t set the Termination date mapping above, please set it to the relevant field from your HR system. The set of fields that we pull from your HR system will be available in the dropdown.
If you provided HR data to Productiv through a CSV upload, then make sure that you have a column in the CSV upload for termination date. Then you can setup the new Termination date mapping above.
